Before you begin
Choose one source of truth for product names, approved answers and contact ownership. Remove duplicates carefully and mark information that needs confirmation. Keep dates and responsible people visible. Before connecting a tool, check which data is needed and who is allowed to access it. Start with a limited dataset. Confirm export, deletion and access controls with the selected provider.
Choose the information owner
For a product-enquiry workflow, start with an approved catalogue and contact record rather than every spreadsheet in the business. Name the person responsible for prices, product details and customer ownership. Put a review date beside frequently changing information. Where sources disagree, label the conflict and resolve it at the source. Asking an assistant to select the most plausible value only conceals the problem.
Inspect a representative sample
Choose records with missing values, duplicates and recent changes as well as clean examples. Check whether the same product has several names and whether old contact information is still being used. Document the rules for correcting each issue before making bulk changes. Keep backups and an audit trail. A small, reliable dataset is a better pilot foundation than a large dataset whose meaning nobody can explain.
Connect only what the task needs
Map the required fields and confirm the selected provider’s actual permissions, retention and export controls.
